Momentum Textiles & Wallcovering, a leading supplier of contract textiles and wallcovering, is seeking a full time Tradeshow and Events Project Manager.

As a Tradeshow and Events Project Manager, your primary responsibility is to oversee the planning, coordination, and execution of tradeshows, exhibitions, and customer experiences. You will be responsible for ensuring that these events and projects are delivered on time, within budget, and meet the highest quality standards ensuring they align with the company’s brand image and reputation. You will work closely with the Sr Manager, Brand Experience, cross-functional teams, vendors, and stakeholders to ensure the success of each project.

Essential Job Functions:

  • Project Planning and Coordination:
    • Develop detailed project plans, timelines, and budgets for tradeshows and facility-related projects.
    • Liaise with external vendors and suppliers to source materials, fabrics, and wallcoverings, ensuring they deliver within project timeline and meet quality standards.
    • Identify project risks and develop mitigation plans to minimize potential issues.
  • Tradeshow/Events Management:
    • Collaborate with Sr Manager, Brand Experience to Plan and execute tradeshows, exhibitions, and corporate events in compliance with company standards and brand guidelines.
    • Coordinate logistics to execute tradeshow booth design and setup, product installations, promotional materials, and shipping arrangements.
    • Source and coordinate with vendors and suppliers to ensure reliable and timely delivery of materials and products.
    • Collaborate with Sr Manager, Brand Experience to manage execution of industry and customer events, including venue logistics, catering, audio-visual requirements, promotional materials, and scheduling.
    • Supervise on-site tradeshow and event set up, communicating with event staff, troubleshooting, and managing on site activities to ensure seamless execution.
  • Facility Project Management:
    • Collaborate with Sr Manager, Brand Experience and cross functional team members on facility related projects. Organize and manage project timelines to ensure seamless execution.
    • Coordinate and manage logistics with contractors, installers, and vendors to ensure all necessary materials, FFE, and project requirements are completed on schedule, according to specifications.
  • Budget Management:
    • Monitor and maintain budgets for each project and event, making sure costs are controlled and staying within approved limits.
    • Analyze project expenditures and propose cost-saving measures without compromising quality.
  • Reporting and Documentation:
    • Update Tradeshows and Events Calendar with necessary details in collaboration with marketing and sales team.
    • Prepare regular progress reports for management, detailing project status, budget updates, and potential risks.
    • Maintain accurate and up-to-date documentation of all project-related activities.
  • Continuous Improvement:
    • Stay up-to-date with industry trends, best practices, and new technologies related to tradeshows, event, and facility management.
    • Suggest and implement process improvements to enhance project efficiency and effectiveness.
    • Coordinate with Sr Manager, Brand Experience on post-event and project evaluations to identify areas for improvement and implement lessons learned in future initiatives.

Requirements:

  • Bachelor’s degree in Business Administration, Marketing, Event Management, or related fields.
  • Proven experience in successful project management, preferably in tradeshow planning and events management.
  • Strong organizational skills and the ability to multitask effectively.
  • Excellent communication and interpersonal skills to collaborate with diverse teams and stakeholders, and maintain top level partnerships within the industry.
  • Meticulous attention to detail and a commitment to delivering high-quality results.
  • Problem-solving abilities and the capacity to handle unexpected challenges.
  • Proficiency in project management software and MS Office applications.
  • Flexibility and adaptability to work in a fast-paced and dynamic environment.
  • Willingness to travel frequently to facilitate tradeshows and support at project sites.
